Why does the job exist? This position manages the mail-room operations for the New Mexico Department of Transportation (NMDOT) General Office.
The incumbent will directly supervise two (2) employees.
How does it get done? Supervisor must have the ability to provide daily oversight and supervision to mail room staff and operations; in order to insure timely mail services for department employees and all other customers, resolve any issues of mistaken or missing mail/package delivery.
Responsible for attending all management meetings for budget purposes for General Services Bureau.
The Motor Vehicle Operator will be on route daily to United States Postal Service (USPS), General Office Complex to include District 5.
Pick up, load, carry and deliver moderate to heavy mail and packages, following time schedules and rules of safety, review condition of vehicle during usage and report all incidents, defects, and failures.
Manage, monitor and record postage expenditures; providing monthly activity report on customer usage and budget allocations, cost effectiveness and efficiency of all mail requests.
Conduct inventory and ordering of postage and shipping supplies assuring budget is available.
Ensure accurate addressing, weight, and dollar allocation of postage of all mail and packages, for United States Post Office, Federal Express and other mail providers to assure timely delivery.
Responsibilities include, yet are not limited to the following:
Respond to all special mail requests by providing recommendations for cost effectiveness and efficiency delivery.
Manage daily mail room processes, including processing of outgoing mail, and mass mail-outs.
Manage mailing projects, including general daily mailings, and special projects.
Maintain mail room equipment (acquire service for equipment, maintain postage on machine).
Manage employee scheduling and work performance.
Manage postage levels.
Manage supply inventory, including envelopes, printed materials, and postal supplies.
Perform other tasks as required by management.
Who are the customers? NMDOT employees, Commissioners, USPS, Federal-Express, other State Agencies.
Ideal Candidate The ideal candidate will have preferred experience/education in the following areas:
Experience in office administration, and/or customer service.
Supervisory Experience.
Knowledge of USPS, Federal Express regulations.
Proficiency in mail room SMART-shipping software.
Ability to lift heavy packages and work in inclement weather conditions.
Minimum Qualification High School diploma or Equivalent and three (3) months experience in office administration and/or customer service.

Employment Requirements Must possess and maintain a valid Driver's License.
Must possess and maintain a current Defensive Driving Course certificate from the State of New Mexico or must pass and receive a Defensive Driving Course certificate as a condition of continued employment.
Working Conditions Office setting, exposure to Visual/Video Display terminal (VDT) and extensive personal computer and telephone usage with extended periods of sitting.
Required to lift and /or move up to 50 pounds.
Work in inclement weather conditions.
